Job Summary:
Under the direct supervision of the HR Manager, the Administrative Assistant performs general office and administrative duties. This employee is responsible for answering incoming phone calls; issues invoices to customers; and assists sales, management and administration department with various office duties when requested.

Job Functions:
Essential:

  • Answers incoming phone calls and routes them to the appropriate party.
  • Accurately records phone messages and information.
  • Greets customers and directs them to the appropriate department or employee.
  • Issues and mails invoices to customers.
  • Verifies accounts payable invoices and routes to accounting for processing.
  • Sorts and distributes incoming mail to the appropriate party.
  • Scans Sales and Purchase Orders into storage drive.
  • Ensures quality of scanned documents following scanning and stores in appropriate databases.
  • Manages postage machine and copier maintenance and repairs.
  • Orders and maintains general office supplies.
  • Assists with monthly MCCI employee newsletter.
  • Distributes incoming faxes for Administration, Operations, Quality Control, Purchasing and Sales Department as received.
  • Assists management and sales staff with various office/administrative duties when requested.

Marginal:

  • Assists with Accounts Payable duties as needed.
  • Performs other duties as deemed necessary or as required.

Job Qualifications:
Experience:
At least 3 years office/clerical experience or related field is required. Employee is expected to acquire the necessary information and skills to perform the job reasonably well within 90 days in the position.

Education:
High School Diploma or general education degree (GED) is required. Some college preferred.

Skills:
Skills expected include strong organizational, customer service, and telephone skills. Good verba and written skills are required. Excellent computer skills (40 WPM typing skills preferred) with proficiency with Microsoft Windows, Word and Excel required.
